New patient
Hi, are you taking new patients? I'd like to book a cleaning. Do you take PPO insurance?
AI assistant · Cove & Cedar Dental
Hi, this is Cove & Cedar Dental's AI assistant. Yes, we're welcoming new patients and we work with many PPO plans. The front desk confirms yours before the visit. Does Thu 8:30 AM or Fri 11:00 AM work?
Thursday at 8:30 works.

New, and upfront about it.

Where new-patient calls slip away.
Choosing a dentist is a trust decision. People check a few practices, look for their insurance and book with whoever answers clearly first. New-patient questions tend to slip away in the same few places.
- 01
The phone rings while everyone is with a patient.
Your front desk is checking someone in, on with an insurer or helping at the chair. The new-patient call goes to voicemail, and people rarely leave one.
- 02
People look for a dentist after hours.
Evenings and weekends are when many people finally get around to it, often with a few practices open in different tabs. The first clear answer usually gets the booking.
- 03
"Do you take my insurance?" comes first.
It is the question almost everyone asks before booking. If the website does not answer it and nobody replies until Monday, they keep looking.
- 04
Paperwork waits until the patient is in the chair.
Forms filled out on a clipboard in the waiting room push the whole morning back. Sending them ahead only works if someone remembers to.
- 05
Reviews are hard to answer safely.
A thank-you that mentions a visit can confirm someone is a patient. So many practices stop replying at all, and the profile looks unattended.
- 06
The website feels older than the office.
Old photos, hours that changed last year, no insurance list and no easy way to book. New patients judge the practice by it before they ever call.
One system, built for dental practices.
One person runs all of it. Start with the piece that leaks the most and add the rest when you are ready.
A website that answers the first three questions.
- Hours, location, parking and the insurance plans you accept
- Online booking or a short request form that asks for no health details
- Your dentists and team, with credentials stated plainly
- Claims kept factual, the way dental advertising rules expect
- Fast and easy to use on a phone

Scheduling questions answered, nights and weekends.
- Answers hours, location, accepted insurance and new-patient questions

- Hands anything clinical or urgent to your front desk, and points emergencies to 911
- Takes the 7 PM and Sunday questions off the front desk, not their job

Tuned to the visits you want more of.
We start with the jobs you want more of: your ads and your site point there first. One AI agent answers every inquiry with the same few questions and books the visit.

What kind of business do you run?
Tap yours. Four more quick questions, then Sergei builds your free audit around the answers.
Questions, answered.
We got burned by an agency. Why is this different?
Fair question. Month to month with 30 days' notice, no 12-month contract. Every account, site and phone number stays in your name, and so do recordings and transcripts. You deal with Sergei, not an account manager. And if the free audit shows you don't need us, it says so.
What does the AI assistant actually handle?
Scheduling. Hours, location, parking, the insurance plans you accept, new-patient forms and booking cleanings or consultations. It does not give dental advice, assess symptoms or discuss treatment. It says it is an AI assistant and hands anything else to your front desk.
Is this meant to replace our front desk?
No. It takes the 7 PM and Sunday questions off your front desk's plate, not their job. It answers hours, location and new-patient questions and offers open times. Anything about insurance details, treatment, pain or anything clinical goes to a person, with a short summary, so your team calls back already knowing what the patient asked. Your front desk decides which calls and hours it covers.
We already use Weave (or NexHealth).
Keep them. In the audit we look at what your current tools already cover and only suggest adding what's missing, for example after-hours questions or website chat if nothing answers those yet. If your current setup already handles it, we'll say so.
What if someone writes about pain or an emergency?
The assistant does not try to assess it. It passes the message to your front desk or the after-hours number you choose, right away. Anyone describing an emergency is told to call 911.
Is this HIPAA compliant?
Compliance depends on how your practice uses every tool, so we never label anything "HIPAA compliant." What we do is keep the website chat and forms to scheduling questions, leave clinical records in your practice software, and don't decide on our own whether a workflow or vendor meets HIPAA requirements. Your compliance lead or attorney reviews any workflow that may involve patient information.
Does it work with our practice management software?
Open Dental, Dentrix, Eaglesoft and others: what connects depends on the software, your version and the access your vendor allows. We check that for your practice before we promise anything, and we don't promise an integration we haven't tested. Where booking can't connect directly, the assistant takes a request with preferred times and your front desk confirms it.
Will it quote prices?
Only what you approve, like a new-patient offer you already advertise. It never estimates treatment costs or coverage. Questions like that go to your front desk.
How do you handle reviews?
Replies thank people without confirming they are a patient or mentioning any visit. Review requests go out the same way to everyone, through channels they agreed to, and never with anything offered in exchange.
Will you text our patients?
Only patients who agreed to texts from your practice, and only about their appointments unless they agreed to more. Never cold texts or automated calls.
How do you handle dental SEO and your Google Business Profile?
We do not sell SEO as a separate service. It is part of Ads & Listings and the Growth plan. Your Google Business Profile gets the right categories, hours, new-patient details and real office photos, and every patient is asked for a review the same way, with no health details in the request. Your site gets a page for each service you offer and the area you serve, with the same name, address and phone number as your listings. Nobody can promise a ranking, and we do not.
Can you promise more new patients?
No, and be wary of anyone who does. We promise what we control, like launch dates, reply times, reminders that actually go out and tracking that works, and we show you the numbers every month.
Do you work outside Orange County?
Yes. We are based in Orange County and work with dental practices anywhere in the US. Everything can be done remotely.
See where your new-patient calls slip away.
A free, written audit for your practice. One test scheduling question and how fast it gets a reply, your site and booking, your listings and reviews, and what could run on its own.
